Registers incoming and outgoing documents.
Maintains Controlled documents register.
Distributes documents according to distribution matrix.
Sends drawings transmittals and submittals.
Schedules and arranges appointments, for professional or management staff.
Takes dictation, composes and types routine letters, reports, numerical data, scientific or technical data, charts etc.
Read and routes incoming mail.
Establishes and maintains project’s files.
Records minutes meetings.
Prepares notes, correspondence and reports using computer software.
Sends and receives fax messages and distributes them as appropriate.
Creating Document Management System to be following at site
Preparing the template of project logs which are going to be following at site
Preparing Document Numbering Procedure to be following at site
Reviewing every update for the consultant
Hold a meeting every week to discuss all issues related to documentation issues at site
Preparing Monthly report to be send to the owner ( Embassy )
Report to AMG project Manager at site.
Controlling and documenting all incoming and outgoing documents. (i.e: submittals, transmittals, drawings, correspondences, etc.)
Checking outgoing / incoming Project correspondence
Allocates and controls the document numbering system.
Copying and distributing drawings and documents to relevant parties.
Receiving “IR” inspection request from the main contractor & distributing to our engineers for doing inspection.
Receiving all “MS” Material submittals from the main contractor and make sure it’s the same as received materials.
Receiving shop drawings (A0) for all disciplines “softcopy & hardcopy “from the contractor.
Implementing a communication management plan and changing control systems.
Establishing an efficient centralized filling system.
Managing daily scanning and downloads of all documents & drawings.
Ensuring that all records are kept up to date and that a soft copy and a hard copy are available.
Preparing Inspection request (IR), Material Submittal (MS), Transmittals (TS), Material site inspection (MIR), Request for information (RFI), Site Instruction (SI), Correspondence , Request for curing (RCP) , Quantities submittals (QS) & Drawing list logs for reference and handing over.
Arranging Weekly report including (data, photos at site & charts etc…) and send it to the project manager.
Sort incoming mail and courier deliveries for distribution , forward incoming general emails to the appropriate staff member
Coordinate the maintenance of site equipment.

Greet clients/suppliers/visitors to the organization in a professional and friendly manner
Hightail coordinator, up and down loading project specific data to project folders
Formatting and development of project documentation (Word, Excel, PowerPoint)
Update and ensure the accuracy of client databases
